Intro

Being transparent and honest is key to maintaining a relationship between businesses and its customers – no matter what industry you are in, your presence (physical, virtual, you name it…) or how small or large you are.

We are one of many small businesses operating within the United Kingdom providing online cloud services either directly or through trusted partners. Small we may be, but when it comes down to your data it is important for us to share with you how we intend on going about handling and processing it.

When you share data with others, you would naturally expect them to take great care on handling it – rightfully so too as it is your data and is personal to you.

So, to help us do just that, this is our 2024 Privacy Policy which aims to detail the following:

  • Detail who your data is being collected and processed by.
  • The types of data that is being collected and how we intend on processing it, including the relative 3rd parties that it may be shared with if applicable.

This will be reviewed every few months to ensure it accurately reflects our operating environment and so that you are in the know of what is going on.

Cookies and 3rd Parties

For all sites that sit within the AIOL International bubble, at times we may rely on the limted use of cookies at times so that we can provide an efficient service across the board. We will always be clear when cookies are in use.

It’s important to note that there may be some elements on our site which rely on 3rd party components (external resources), and are likely to have their own privacy policies and use of cookies which we have no control over.

At any time, if 3rd party elements are used on our site this will be displayed clearly.


Data Collection: Types of data and how we collect it

When using certain services, such as ArbiInnovate Digital, we may collect some information utilising methods of a digital nature. Such methods may include but aren't limited to:

  • An online registration form
  • An order placed via a marketplace such as eBay.co.uk
  • Online chat facility (WhatsApp, Email Support)
  • Limited usage of website cookies (Cloudflare etc.)

We may collect the following information that is deemed identifiable to you as a person, or the business entity concerned. Such pieces of information may include but not limited to:

  • Your full name
  • Your email address
  • Phone Number
  • Residential Address - depending on the situation
  • Business Info (Company No., VAT Number, Website)
  • Business Phone Number
  • Personal/Business Email Address
  • Business Type (Public, Private, Limited Liability etc.)
  • IP address (when registered and logged in)

In some cases we would not require a residential address if data were being collected from an incorporated business that has a registered trading address, but there may be instances for for example if you are a sole trader or operate an incorporated business from a home environment or similar where we may require it.


Data Collection: Why we collect data

The main purpose of collecting data is to enable us to register you on our platform so that you can access our services accordingly, but there are other purposes too which include:

  • Sending important email communications regarding any element concerning the normal operation of your account. For example: Subscription changes, new subscriptions ordered etc.
  • If applicable, sharing info to 3rd parties where services on our platform may leverage elements that are external. Example 1: You might be searching for a loan using a comparison site which uses a 3rd party tool external to the site to check your credit file accordingly. You enter the relevant info on the form and the site then passes this onto the tool and retrieves necessary info as required.
    Example 2: A website may accept online payments using an external provider, such as Square, GoCardless etc.
  • Verification in line with ‘Know Your Customer’ (KYC) guidelines. For example, for new business customers we may verify business information such as VAT info via Companies House or HMRC. 3rd parties where applicable may also carry out any validation on information passed on.


Sharing Information

The information that you provide to us will only be shared with trusted affiliates:

  • Partners we use to run our service (Microsoft, Lenovo etc.)
  • Processing payments (Square Payments, GoCardless, NatWest etc.)
  • Transactional emails – limited

Rest assured as a small business at anytime we never pass on, rent or sell your data to unauthorised 3rd parties, unless there are situations where we are required by local law(s) and regulations to provide this info.

Any data that we collect is processed and stored at data centres that are within the United Kingdom, however there may be some instances where data being handled by 3rd parties may be stored in other locations which may or may not include the United Kingdom, along with having their own processes of collecting and storing data which we may not have control over.


Subject Access Requests (DSAR)

Information you provide to us is your data, simple as that and no excuses! At any time, you can request a Data Subject Access Right, or DSAR for short, from us to retrieve and review the personal information that we may hold on you and where possible any data that has been shared with 3rd parties respectively.

In line with guidance issued by the United Kingdom’s Information Commissioner’s Office (or ICO when abbreviated), upon one being requested we aim to process it within one month. During this period, we may ask for additional information so that we can verify the request accordingly. Information retrieved will be provided using secure methods such as password-protected files.


Changes to this policy

As part of our ongoing commitment to our guests and clients, we aim to review this policy every quarter. Should any changes be made, these will be communicated through the Changelog.
